Administrative and Office Specialist II
Virginia State University (VSU) invites applications for the Data Services Assistant. The successful candidate will provide clerical, fiscal, and/or administrative and strategic support to the Associate Vice President for Institutional Advancement. The nature of diversity and scope of responsibility will require use of discretion, initiative, judgement; thus incumbent must be reliable, self-motivated and trustworthy.
DUTIES AND RESPONSIBILITIES
Position will provide database and fiscal support and must accurately input data into Banner database to include gifts, gift information, pledges, pledge payments, address updates, demographics, relationship links; ensuring that constituents are coded correctly according to campaign, purpose, gift amount, and any restrictions or reporting requirements that may apply. The Data Services Assistant will also provide other administrative support to include the production of donor acknowledgment letters in a timely manner; answering telephones and maintaining filing system pertinent to gift batches, payroll deductions, ACH gifts, endowments and scholarship accounts in addition to other duties as assigned. Also, the Data Services Assistant will be regularly involved in data enhancement projects as assigned by the Associate Vice President for Institutional Advancement. The successful candidate may work an occasional evening and/or weekend.
An Associate’s degree and/or an equivalent combination of relevant work experience, education, and training; must have basic understanding of gift processing in and higher education/non-profit environment, CASE/VSE standards, rules and regulations pertaining to planned gifts/stock gifts/gift-in-kind/ etc.. and understanding of hard credit/soft credit rules; must have advanced computer skills with donor database experience; and high proficiency in Microsoft Office Suite, i.e., Word, PowerPoint, and Excel are required; a comprehensive understanding of the overall responsibilities of Development Services is required, including gift processing and acknowledgement policies and procedures, data maintenance related activities; must have ability to perform basic clerical/fiscal work involving judgment, accuracy and speed with minimal supervision; must have ability to handle and accurately process varying sums of money on a periodic basis, while adhering to processing deadlines; must possess exemplary interpersonal, verbal and written communications skills; must be able to interact with staff and management throughout the University, and external constituents, in a prompt and professional manner, on a wide variety of development related issues; demonstrated initiative and ability to organize with the ability to prioritize a diverse workload in a busy environment; excellent oral and written communication skills are required; ability to work with minimal guidance to identify appropriate applications of a wide variety of written policies and procedures; ability to maintain confidential records and files with discretion; ability to manage multiple projects simultaneously while meeting deadlines; ability to function independently and as a member of a team.
